About Union Aid:

Union Aid (UA) is an Afghan Organization was established in 1979, Union aid had been serving Afghan Refugees in Pakistan through various projects in different sectors; such as health, education and livelihood improvement. UA has been providing basic health services through establishment and running of hospitals, Basic Health Units (BHUs), labor rooms, provision of prosthetic limbs and first aid trainings. UA facilitated Afghan Refugees in education sector through providing formal basic and higher education as provision of scholarships and establishment & running of school and literacy education etc. As livelihood improvement Union Aid has delivered various kind of skill development and business establishment programs for men and women.

UA has also been running emergency response program where goods and services were provided to the people effected by various emergency including war and natural disasters in Pakistan and Afghanistan. Provision of basic needs, health care and nutrition products were the prime areas of assistance.

UA in currently providing services to IDPs, returnees and rural migrants including host communities in health, education, livelihood and small scale infrastructure improvement in Kabul, Balkh, Jawzjan, Samangan and Herat Provinces.



Job Description:


Union Aid is required Admin Finance Assistant in Herat Province for the project of Integration of Displaced People in Northern Afghanistan. S/he shall directly report to Admin Finance Officer and assist the Project Manager in all Finance and Admin related aspects for its office in Herat.

Duties and Responsibilities:

Accounting (Finance)

  • Assist in maintaining program accounts in QuickBooks, produce expenditure statements, preparation of monthly, quarterly, and annual financial reports and other financial information as per requirement.
  • Preparation of vouchers and cheques and effective payment.
  • Assist in the handling of the project bank account
  • Maintain the attendance records of relevant staff
  • Cashier (Manage Petty Cash, Handling of Cash and Cash Book: ensure daily closure of the cashbook).
  • Assist in financial planning and preparation of budget advances on a quarterly basis with the consultation project team and management.
  • Preparation of salary statements and payment of monthly staff salaries and allowances to the project team and community facilitators.
  • Coordinate audit for the project with close coordination of the management & finance team.


  • Procurement of material for project requirements according to Union Aid’s procedures, with close coordination and support of head office procurement logistics’ team and procurement committee.
  • Maintenance of inventory for office, proper inventory control and update of the inventory list, etc at project office and field levels.
  • Overseeing arrangements for meetings, workshops, seminars etc.
  • Maintain leave records of all the staff.

Human Resource

  • Maintain personnel files for all the staff involved in the project
  • Maintain the attendance records of relevant staff
  • Keeping a record of correspondence, attendance sheet, annual leave record

Office Supervision

  • Manage office support staff at field locations  ( Driver, Guards, etc)
  • Maintenance of vehicle record, their movement and all other related matters.
  • Arrangement of rental contract for project office and community places if any.

Capacity Building

  • Capacity building of field and core project staff regarding finance and admin related procedures and policy requirements

Job Requirements:


  • Excellent oral and written communication skills in English and Dari Languages

Other skills:

  • Proficient in Microsoft Office program.
  • Team work spirit, disciplined, hard worker and capability to respond challenging conditions.
  • Being flexible regarding working hours.
  • Willingness to travel to the site areas.
