About Medica Afghanistan:

Medica Afghanistan (MA) is a non-profit, non-governmental national women’s organization. We support female survivors of gender-based violence and women and girls in conflict with the law through legal aid, mediation, psychosocial counseling, and advocacy. Headquartered in Kabul, we operate in Kabul and in the north and west regions of Afghanistan through our offices in Balkh and Herat.

MA is a feminist organization which works to advance gender equality and supports inclusion and empowerment of women and girls including through recovery and healing from injustices and violence by individuals and society. It is our aim that feminist principles are also reflected in our ways of working as an organization.

Job Description:

To ensure the smooth running of MA’s office in Heart.

1. Collect the staff attendance sheet daily and update the attendance data-base.

2. Keep accurate record of all staff sick leave, compensatory leave, and holidays.

3. Update and maintain all confidential personnel files.

4. Keep updated contact details of all staff.

Logistics

5. Make all transport arrangements, including flight bookings, pick-ups and drop-offs, and hotel bookings for staff.

6. Make necessary updates to the administrative forms and distribute them to all staff, as and when required.

7. Update and distribute administrative forms to departments as and when required.

8. Send monthly requests for food and materials expenses to Kabul office.

9. Prepare and send monthly report of staff attendance to Kabul Office’s HR Department.

10. facilitate the office trainings

11. write and Transferring all official letters to relevant organizations.

12. Overall control and management of Finance activities, logistics, procurement, inventory, warehouse, transport and other related activities.  

13. Ensure that all requisitions are well received, recorded and procurement process started on a timely manner.

14. Collect and collate quotations for the program-related expendable and non-expendables and conduct market research to ensure ‘best quality at least price’ and report these as per donor-specified formats or in MA standard templates.

15. Preparing all administrative documents under the control of manager

Finance,

  1. Provide cash forecast on monthly basis and send to Admin/Finance Manager for het approval
  2. Prepares vouchers for each payment/ transection on monthly basis as per the budget and budget lines.
  3. Responsible for petty cash disbursements and for the collection of supporting documents for daily transactions.
  4. Prepare cash book and share with finance officer on weekly basis
  5. Make sure to reconcile the cash book with the payment of documents and there should be equivalent balance on monthly basis
  6. Conduct physical cash count on regular interval i.e. daily and make sure the amount in safe is matching with the cash book record.
  7. Check and record the inventories on monthly basis and share the file with inventory controller.

Job Requirements:

 

  Education Level:

  • Bachelor of  Business Administration is preferable 

 Work Experience

  • Minimum 2 years’ experience in HR, Administrative affairs and Finance

  Skills Required:

  • Effective Communicator,
  • Knowledge of Ms. Office, Outlook, Photocopying and    scanning documents

  Attitude:

  • Courageous, Well-tempered,

  • Willingness to work beyond official work hours and on weekends and holidays when necessary
  • Have team work skills
  •  Have Strong flexibility
