Job Description:


Assists the Buyers and the Country Procurement Manager in making information available on purchasing files and ensuring that the comply with ICRC rules. S/he carries out administrative work to help the procurement team function smoothly.


Main Responsibilities:

Specific activities:

Carries out office work for the unit
Regularly checks and updates the Supplier Relationship Management (SRM) files and reports to the Country Procurement Manager about any missing documents that need to be asked from suppliers.
Regular check on PO files (both hard copies and ProFiles) and ensuring that the purchase process is according to ICRC Financial and Compliance rules.
Draws up monthly expenditure forecasts.
Resolves transactional problems with Finance.
Compiles and reconciles suppliers’ invoices against purchasing documentation.
Ensures that Purchase Order files are kept up to date and ready for audits.
Creates and maintains supplier/product files.
Updates and follows up on suppliers’ files with Buyers.
Provides and collects information for statistics.
Responsible for procurement related archiving and mail distribution.

Job Requirements:

Degree in accounting, procurement or business administration
Very good command of English and local languages
Four years’ experience in similar the field of procurement
Very good knowledge of the local market and commercial negotiation
Knowledge of the procure-to-pay (P2P) process or Enterprise Resource Planning software is an asset
Confirmed capacity to implement general ICRC procedures
Good analytical skills
Rigorous and trustful person
Willingness to learn
Accurate and honest
Flexible, able to work under stressful situations with extensive working hours
Computer proficiency, including Microsoft Office package, SharePoint and IBM Lotus Note or Microsoft Outlook
Capacity to apply ICRC rules and procedures and to treat information with confidentiality
